Job Summary
The LSI is a UBC Research Institute supported by the UBC faculties of Medicine and Science. It is home to the research programs of approximately 90 Principal Investigators from four faculties and over 15 departments, who conduct research on a wide variety of life science topics. The advertised position reports to the Strategic Research Development Officer and works closely with LSI Principal Investigators, research staff, and trainees as required.
The Research Grants Facilitator is responsible for the management of grant applications and the preparation of other writing projects including developing, writing, and editing a wide variety of research related documents and reports, tracking LSI research activities, and supporting the institute operations with the development of promotional materials. This position will identify and communicate research and funding opportunities from government agencies and industry as well as provide proposal development support to LSI researchers on their grant applications. Major responsibilities include but are not limited to: providing advice on identification and preparation of major collaborative grant proposals, identifying, developing, writing, and preparing research grants, grant budgets and budget justifications, letters of intent, academic proposals, background documentation, research program rationales, and other documents.
The Research Grants Facilitator will also provide authoritative advice and understanding of the mandates, priorities, processes and policies of internal UBC and major Canadian and international government and private research funding sponsors. The position may also be involved in writing/editing content for internal and external communications related to the LSI. Working closely with the Strategic Research Development Manager and other LSI staff, this position will play a key role in establishing contacts with agencies and institutions in order to assist LSI researchers in obtaining research grants, agreements, and contracts and will work closely with other units at the University regarding ethics, grants, and contracts when required.

Organizational Status
The advertised position reports to the Strategic Research Development Officer and works closely with LSI Principal Investigators, research staff, and trainees as required.

Work Performed
In collaboration with the LSI senior management team, the Research Grants Facilitator manages the identification of funding opportunities from various funding agencies including provincial, federal and international programs and manages the initiation and development of large and complex research grant applications.
  • In collaboration with LSI Principal Investigators, designs, develops, and prepares grant proposals, letters of intent, and background documentation; provides advice and feedback on proposal design and content, grant budgets, methods to improve proposals and identifies possible financial, human resource, equipment, and space resource requirements for applications
  • Initiates and facilitates collaborations and initiatives between researchers, advices on developing of research partnerships, and identifies funding opportunities
  • Customizes scientific writing and technical presentations for target audiences incorporating a scientific background with an ability to understand and communicate complex scientific issues
  • Responsible for understanding University policies and procedures in order to appropriately create and evaluate budgets to ensure that all grant funding agency and university requirements and protocols are met.
  • Liaises directly with ORS, VP Research, sponsoring agency personnel, Research and Trust Accounting, Ethics Committees, Industry Liaison Office, faculty and administrative staff on questions related to the administration of research funding
  • Researches information about the research and granting agency to customize proposals to the agency mandate, priorities, and guidelines; ensures University and agency policies and procedures, research ethics, publications restrictions, confidentiality issues, terms of payment and indirect cost recovery are addressed in proposals.
  • Provides authoritative advice to researchers and leadership on the culture, priorities, eligibility criteria, deadlines, submission processes, budget requirements, and other important details regarding internal and external research funding
  • Acts as a knowledge resource for the Institute for research funding opportunities and ensures alignment with the Institute s strategic direction and priorities and actively seeks out and encourages researchers to apply for funding
  • Maintains and provides in-depth knowledge of LSI research activities, research progress, research metrics, alignment of LSI research with the wider research strategic priorities of UBC and the faculties represented by LSI membership.
  • Manages the internal review process for grant applications and collaborates with LSI Senior Management to track progress and develop plans towards new and renewal grant applications
  • Develops, implements, and maintains procedures, systems, and processes for research file management and application guidelines; tracks and reports the results of all LSI grants

Consequence of Error/Judgement
Errors in performance or poor judgement could have a significant impact on the effectiveness, image, reputation, and financial status of the Institute, Faculties, and University. Inappropriate judgement, non-compliance with contractual terms and/or agency guidelines, or incorrect interpretation of agency and University policy could result in loss of current and future research/funding opportunities.

Supervision Received
Reports directly to the Strategic Research Development Manager and works closely with the Manager, Operations & HR, and Managers of LSI Core Facilities.

Supervision Given
The position is not required to supervise staff at this time.

Minimum Qualifications
For research work, a post-graduate degree or equivalent professional designation with a minimum of four years of related experience, or an equivalent combination of education and experience. Otherwise, an undergraduate degree in a relevant discipline is required with a minimum of six years of related experience, or an equivalent combination of education and experience.

Preferred Qualifications
Demonstrated experience in developing, writing, analyzing or evaluating research funding applications and managing research projects. Intimate knowledge of current grants and funding programs available at provincial, national and international levels. Knowledge of university policies and procedures, as well as experience working with researchers is an asset. Demonstrated ability to work effectively with members of staff, faculty, and senior management. Ability to effectively manage multiple projects/tasks as well as multiple deadlines, prioritize effectively and adapt quickly and efficiently to change. Ability to analyze problems, identify key information and issues, and effectively resolve them. Strong oral and written communication, interpersonal and organizational skills. Ability to exercise considerable tact and discretion when dealing with confidential matters, politically sensitive issues, and diverse people. Ability to work both independently and within a team environment. Ability to maintain accuracy and attention to detail. Ability to gather, record, and organize information; to create and maintain record and filing systems.
