Description:

The Supply Chain Assistant will perform various administrative tasks to support the Subcontract Management team.

The position will undertake a variety of activities in the office ranging from coordinating, filing, tracking deliverables, uploading information into systems, and expediting internal stakeholders.

The best person will come from a supply chain coordinator, logistics, coordinator, vendor relations, buyer agent background

Education and Experience

• A minimum of 2 years’ experience in Procurement including experience managing Suppliers in a project environment, preferably in the shipbuilding industry.
• Professional certification or training through an accredited procurement society such as the Purchasing Management Association of Canada (PMAC) or New Supply Chain Management Professional (SCMP), The Logistics Institute (P. Log.), American Purchasing Society or The Association for Operations Management (APICS) CPIM program is desirable.

Must;

• Project Based Experience from a Manufacturing or Production Environment
• Supply Chain experience; purchase orders, change orders, vendors relations, supply chain, check and approve invoices
• Strong Communication

The scope of the role includes serving as the primary point of contact and coordinator of on-site service support provided by suppliers that need to provide services during installation and or commissioning of the product.

• Coordinate Suppliers visit to site
• Point of Contact for VSY requisitioners (OPS, COM or Warranty)
• Trade Manager
• Area Managers
• Vessel Managers
• Ship Manager
• Commissioning Manager
• Warranty Manager
• Prepare access to VSY premises
• Coordinate Security Clearance
• Coordinate Supplier’s Requirements while onsite (office, equipment, storage space)
• Liaison between Production and the Supplier
• Ensure that sufficient funding for the required work is available in the Subcontracts
• Confirm if Supplier has submitted required DIDs (VFI)
• Confirm if Supplier is required for more than planned; assist with Change Order Process
• Check Proforma Invoices
• Check, process and approve Supplier’s invoices
• Coordinate warranties for the various Ships with the Warranty Manager and other Stakeholders
• Produce Purchase Orders
