Employment Opportunity: Legal Assistant (Senior)

We are seeking to add a legal assistant who will be a core member of our 5 lawyer and growing legal services team on a full-time basis.

Essential Functions:

· Transcribing dictation via Olympus transcription software

· Assisting lawyers with court filings

· Managing court filing deadlines and coordination of hearing dates

· Developing and maintaining filing systems

· Opening and organizing client files including managing limitation periods

· Administrative duties as required such as managing calendars, coordinating meetings and making travel arrangements

· Assisting with client billings and preparing invoices and account letters

· Maintaining up to date contact information for clients and vendors

· Consistently uphold strict standards of confidentiality

· Provide reception and secretarial support

· Assist in preparation of exhibit binders for depositions, hearings and trials

· Manage the case calendar and keep an eye on deadlines

· Prepare various documents and correspondence

· Plan and execute service of documents and correspondence on parties

· Answer incoming calls and assist in handling high volume phone lines

· Aid attorneys with client intake

· File hard copies of documents as well as maintain the electronic document system

· Maintain exceptional client service standards

Qualifications:

· We prefer candidates with a Legal Assistant Diploma from an accredited college but will consider candidates with suitable experience

· Minimum 5 years experience as a Legal Assistant required

· Experience in commercial litigation assistance required

· Strong administrative and organizational skills

· Self-starter with an ability to identify, take charge of and manage administrative tasks such as file and document management with minimal supervision

Software Knowledge (Essential to have, but we will train): Cosmolex practice management and accounting, Olympus transcription, Microsoft Office Suite core products (Teams, Word, Excel, Outlook), Worldox document management, Zoom, Eclipse SE evidence management.

Compensation: Negotiable; commensurate with experience.
