Responsibilities

  • This role will support scheduling requirement for the Assurance Service Line in Toronto
  • Identify available resources, matching skills with engagement requirements and coordinating engagement staffing with partners, managers, and staff. Where required, facilitate the use of resources from within other groups or regions
  • Responding to change requests in a timely manner and facilitate conflict resolution with respect to staffing
  • Monitoring staffing levels on current engagements to anticipate potential resourcing gaps, optimize capacity utilization and coordinate across service line and other offices as needed
  • Follow up with team members on their availability and understand when resources will be coming available, flexibility in timing of availability, and team members’ skills and interests
  • Help provide opportunities for our team to grow and achieve their goals by maintaining a solid understanding of the staff areas of expertise, skills sets, project experiences and career goals and track
  • Understand engagements that are unstaffed and where it makes sense, deploy resources to other areas outside your group and/or other offices
  • Understand non-chargeable hours and their impact on overall utilization
  • Maintain accuracy of data with the scheduling tool to ensure that resource forecasts are up-to-date and accurate
  • Proactively checking in with engagement managers on upcoming engagements to ensure the work is starting on time
  • Schedule Inventory counts in and out of the region. Connect with schedulers in other regions for out of region counts
  • Update the schedules with Learning & Development
  • Perform analysis of utilization, scheduled versus actual hours, reviewing time entry and identify developing trends and collaborate with assurance managers to develop a course of action to reduce unassigned hours and achieve planned results
  • Providing support for reporting requirements as necessary
  • Assist with rolling schedules forward
  • Liaise with Human Capital to track new hires
  • Assist with weekly scheduling meetings with managers and partners

Skills and Experience

  • Undergraduate degree or work equivalent
  • working experience in an office environment, ideally in professional services
  • Experience using scheduling or project management software would be considered an asset
  • Experience in resource planning or employee scheduling would be considered an asset
  • Strong communication skills with an ability to listen effectively and understand needs
  • Strong working knowledge of MS Office including strong Excel knowledge
  • Ability to interpret and analyze data and apply business acumen
  • Planning and coordination skills with a proven ability to maximize efficiency
  • Team player with a commitment to both internal and external client service
  • Demonstrated commitment to confidentiality
