Who You Are:

Reporting to the Executive Director, Program Operations, the Director, Full-time Program Services is a member of the Senior Program Leaders Team that collectively oversee Program Operations and Student Experience at Ivey. This role is responsible for leading day to day operational aspects of the Full-time, London campus Programs including HBA, MSc, MBA, and GDIPs. The focus of the role is ensuring effective program administration, collaborative partnerships with Ivey and Western departments, and strong relationships with external partners, ensuring a highly successful student experience while in the program. The role directs the various phases of the student life cycle: pre-program communications, administration of the program, progression and successful completion of the program. The Full-time Program Services Director is also a primary contact for Western, including the Registrar’s office and School of Graduate and Post-Doctoral Studies (SGPS) on matters of program coordination and compliance.

While the focus of this role lies in the operational excellence of the Full-time Programs and the in-program student experience, the Full-time Program Services Director will collaborate across all functions in the effective delivery of the in-program experience for faculty, students and other stakeholders.

This role requires drive and energy, a proven ability to manage multiple tasks in a fast-paced program, skill at leading, motivating and coaching team performance and the ability to build effective relationships with many stakeholders - faculty, Western University and Ivey departments, and students alike.


What You’ll Do:

Full-time Programs Management

  • Maintain integrity around the program experience as well as administrative processes to ensure the smooth execution of the Full-time Programs.
  • Manage the systems, structures, and staff to administer the various Full-time Programs, timetables, student records management, course evaluations, exam management, technology infrastructure, grades reports, transcripts, adjudication records management, program events, practicums, etc.
  • Develops/maintains program schedules, teaching faculty and courses documents, program progression and graduation requirements for all Full-time Programs.
  • Coordinates cross program schedules to maximize constrained resources and avoid conflicts.
  • Collaborate with Faculty Director and Dean’s Office regarding contracts for limited term faculty hiring.
  • Prepare reports and presentations for the Full-time programs, curriculum revisions, faculty meetings, program update sessions with students.
  • Support the Executive Director Program Operations in producing necessary analysis and reports for Business Council, program reviews, accreditations, and other needs as requested by other Ivey and University departments.
  • The Full-time Program Services Director manages the expenses for the Full-time Programs and supports the Executive Director, Program Operations and Faculty Directors during the annual budget and quarterly forecasting process that incorporates revenue and expenses, including program staffing, program administration and course materials fees.


Student Management

  • Contribute to a successful and rewarding experience for students through each student’s interaction with Full-time Program Services.
  • Develop and maintain a comprehensive student resource portals and communications plan ensuring students are well informed of all aspects of their curricular and co-curricular journeys, their supports, and their obligations as members of the Western and Ivey Community.
  • Ensure key policies and procedures are communicated to all faculty and staff and are applied with integrity and fairness to students.
  • Identify and consider enhancements to those policies and procedures and build consensus with Program Leadership and other impacted stakeholders to affect change.
  • The incumbent works closely with the Faculty Directors to establish protocol of decision making around program policies and student exceptions.
  • Works closely with the Full-time student association executives. Provide advice to on event planning, elections, succession planning, guest speakers, and special initiatives. Collect and communicate feedback from the associations on opportunities and challenges for the Program and Ivey.


Faculty Director Support

The Program Services Director is a critical support to the Faculty Director providing:

  • Guidance and subject matter knowledge of governing Western/Ivey policies and procedures
  • Assurance that the program is operating within governing policies and procedures as set by the program, Ivey, Western, and other governing bodies.
  • Facilitation of the program change process within Ivey and Western (SGPS, Registrar)
  • Facilitation of the collection and actioning of feedback from students, faculty, and other stakeholders


Staff Management

  • Lead a team that remains on top of operational and student relations best practices and service standards while continuing to seek out creative solutions that enhance program administration and experience.
  • Keep the team highly motivated and aware of the importance of their role and impact to student experience.
  • Play a key role in setting the tone for the office and team environment, coaching staff through difficult situations, offering regular feedback and support to all staff members.


Projects and Other Activities

  • Work closely with the Executive Director, Program Operations, Ivey senior management on strategies regarding curriculum changes, program growth, new streams, special Ivey and Western initiatives, program reviews, and accreditations.
  • Work closely with the Senior Program Operations team to identify, plan and implement changes that improve the efficiency and effectiveness of program operations for all stakeholders.


What You Have:

Education & Experience

  • Successfully completed a University degree
  • Minimum of 7 years relevant experience in program management, leadership and/or operations; prior experience in student services in a post–secondary environment is preferred.
  • Proven leadership of people and teams in a unionized environment.
  • Extensive relationship building experience – to allow for strong ties with faculty, staff, students and external stakeholders.
  • Experience developing and effectively managing an operations budget.
  • Demonstrated experience and proficiency working with databases such as Salesforce, including experience leading a team that is data driven.

  • Proven ability to think through and create effective processes and procedures.
  • Demonstrated ability to think and navigate critically through sensitive, and at times, highly personal concerns.

  • Strong presentation and communications skills with the ability to gain the attention and credibility of an audience (i.e. students, faculty and staff) to ensure smooth program administration.
  • A well-defined sense of diplomacy, including solid negotiation, conflict resolution and people management skills.
  • Detail-oriented with an ability to function and process information with high level of accuracy.
  • Understands importance of confidentiality and privacy legislation, in collection, use and disclosure of student records, files and documents, etc., in accordance with Western’s policies on Official Student Record Information Privacy Policy and FIPPA.
  • Ability to exercise sound judgment when making discretionary decisions
  • Dependable and extremely well organized with the ability to anticipate, plan and balance multiple priorities; able to meet and to cope with the stress of multiple/competing deadlines.

Full-time (35/hours a week) 3-year renewable contract.

Hiring Range

Based on the salary band for this role, candidates can expect to be offered a starting salary in the range of $88,500 - $118,000. When determining salary, Ivey Business School considers the external market, candidate qualifications, as well as internal equity. Once in the role, successful candidates will have the opportunity to progress through the range and beyond the hiring range of the band, through annual increases.
