JOB DESCRIPTION


TITLE:
Member Services Ambassador

(Salary Range $42,500 - $49,500)


SUPERVISORS TITLE:
Manager of Member Services


POSITION SUMMARY:


Under the supervision of the Manager of Member Services, the incumbent acts as a key point of contact for OVMA member enquiries and is responsible for assisting in the administration of a variety of member service programs including annual the annual membership renewal campaign, member onboarding, the digital OVMA conference experience, and serving as an ambassador at relevant OVMA events and on-campus work with student veterinarians.


OVMA has adopted a hybrid work policy that allows team members flexibility in choosing their work location based on role and responsibilities. Staff are currently primarily working from home, and in the Milton office one day per week, at this time. This arrangement is evolving based on public health conditions.


POSITION DUTIES AND RESPONSIBILITIES:


  • Member Inquiries

The OVMA member services team is, collectively, members’ and potential members’ first point of contact as they reach out to the association to inquire about membership or accessing services. This requires a broad understanding of the association, its services and industry relationships.


  • As part of the member services team, the Ambassador answers incoming member inquiries regarding OVMA member services and benefits and subsequently refers questions to staff as required.
  • The Ambassador assists with a number of annual projects, including member renewals, conference registrations and regularly updating member information changes as needed in OVMA’s database.
  • Serves as primary backup to the Member Services Associate, including vacation and sick time, covering all duties – with an emphasis on time-sensitive initiatives such as Classified Ad postings to OVMA’s website.
  • Serves as Ontario Veterinary College (OVC) student ambassador, acting as the first point of contact for member outreach on campus by supporting the Manager of Member Services in organizing on-campus activities such as lunch and learn sessions and overall relationship building with future veterinarians. The Ambassador also liaises with OVC student veterinarians to collect contact information and promote the value of OVMA membership, responding to questions or requests for support by student veterinarians.
  • Provides overall administrative support and assistance to the Manager of Member Services.

2. Member Programs


The Ambassador supports the administration of specific OVMA programs, including:


  • Member recruitment and onboarding: Supports the Manager, Member Services in the development of the annual membership campaign.
  • Oversees the member onboarding process to welcome new members to the Association, highlighting specific member benefits of interest.
  • Supports the Manager, Member Services in the maintenance of vendor relationships, which includes overseeing the coordination and distribution of data on a set frequency to third party member service providers and provide membership verification to third party service providers when requested.

Office Support, Mail and Shipping

  • The Ambassador oversees the association’s shipping and receiving capabilities by maintaining an inventory of Canada Post Expedited and next day Purolator shipping materials, collects/processes mail, date stamp and distribute to staff.
  • Maintains a log of incoming cheques and payments by date, payer, and amount.
  • Delivers outgoing mail to post office and schedule Canada Post pickups.
  • Fulfills and mail OVMA publication orders as requested.
  • Tracks publication inventory, ordering new materials as required.

Continuing Education


  • The Ambassador oversees the CE Recognition program by regularly updating program assets such as the application form for OVMA’s website and promotes to members through NewsHound. This also includes receiving applications for recognition, verifying member status and eligibility of CE taken, followed by shipping plaques and/or year tiles to qualifying members.
  • Keeps an up-to-date record of all CE statistics and inventory of tiles and plaques and sends CE Certificates for OVMA events, upon request.

Conferences and Events

  • As the Ambassador for the association, the incumbent assists with conference registrations made via email and telephone, attends in-person events to provide a top-level client experience and, in coordination with the Manager, Events, works with the designated app developer to design and implement the conference app.
  • Assists with OVMA booth set up and on-site conference coordination.

WHAT WE ARE LOOKING FOR:


  • An outgoing, customer-focused ambassador with 3-4 years’ experience in administrative settings providing a top-level customer experience.
  • A degree in business management or administration, marketing/sales hospitality/tourism, customer service or a combination of relevant education and experience.
  • Superior interpersonal and communications skills, in different formats (phone, email, Zoom and in person).
  • Extremely organized with experience balancing multiple projects and priorities.
