Position Summary:

Under the direction of the Manager, the International Withdrawals and Refunds Officer monitors International Withdrawal/Refund inquiries and responds to all withdrawal and refund inquiries. Processes all withdrawals within Banner and prepares all refund information to be sent to Finance for processing, verifying adherence to Canadian anti-money laundering policies, as well as adhering to strict data and privacy protection regulations. Provides guidance to applicants, staff, and current students on international withdrawal policies and procedures, and international to domestic fees policies and processes.


Key responsibilities:


  • Prepares accurate refund payment requests.
  • Submits refund requisitions in a timely manner to the GBC Finance Department.
  • Provides guidance on College withdrawal and refund policies and procedures, in line with GBC Finance, MTCU, Scotiabank, and CIBC policies.
  • Verifies all signatures on withdrawal and refund form with passport within OAS and/or WARM.
  • Processes all international withdrawals within Banner.
  • Coordinates with International Admissions Officers for individual applicant deferrals.
  • Enters refund information in database and maintains the database to ensure accuracy of data.
  • Coordinates and follows up with appropriate parties (such as Finance) on status of refunds.
  • Supports responding to international withdrawal emails from applicants, students, agents, and third parties, when needed.
  • Verifies forms are accurately completed by students and agents via email or within WARM.
  • Other duties as assigned.

Educational and Experience Requirements:


  • Three-year diploma or degree from a recognized post-secondary institution in Business Administration or equivalent.
  • Minimum two (2) years of office experience and direct experience with coordinating and processing financial transactions, specifically international refunds from various countries and regions.
  • Direct experience working with Canadian anti-money laundering regulations.
  • Experience with a Student Information System, such as Banner.
  • Demonstrated intermediate knowledge of word processing, spreadsheets, and relational databases.
  • Experience working in a team environment, preferably in an environment with service for international students, including providing a high level of customer service to diverse clientele in a high-volume educational setting, with demonstrated ability prioritize to meet deadlines.
  • Experience working in a financial services setting is an asset.
  • Fluency in written and oral English is required and proficiency in a second language of one of our major international student groups is considered a significant asset (in particular, Mandarin, Korean, Russian, Portuguese, Japanese, Spanish or Tagalog).
