HR and Business Support Administrator

We are looking for an enthusiastic and self-motivated candidate for the HR and Business Support Administrator position.

The purpose of this role is to support the effective and efficient running of all business operations, including HR and Health & Safety and help create a positive and engaging culture.

Joining a small, friendly and agile team in Calgary and reporting directly to the Head of North America Operations with a dotted line to the Head of People and Culture, this role provides administrative support services to Whitefox Technology.

Human Resources

  • Maintain our HRIS (BambooHR) data integrity
  • Manage administrative tasks related to full-cycle recruitment (e.g., prepare and post job advertisements, manage ATS process through the HRIS, schedule interviews, liaise with candidates, conduct reference checks, generate offers, schedule and shepherd the onboarding process, etc.)
  • Provide administrative support for the Canadian and US Benefits plans
  • Liaise with finance to ensure payroll accurately reflects wages, benefits, and current active employees semi-monthly.
  • Provide guidance on Canadian best practices and associated employment law
  • Manage and update the Whitefox Training Academy
  • Work closely with Canada-based HR Consultants on all HR-related tasks

Health and Safety

  • Work closely with the COO to support global health and safety initiatives, suggesting and implementing improvements as required.
  • Provide administrative support on all health and safety tasks, including but not limited to policies, RAMS, Safe Systems of Work, etc.
  • Keep up to date with all changes in legislation attending training where necessary.
  • Arrange necessary premises audits.
  • Act as the designated Company First Aider.

Administrative and office management

  • Provide full office support, greet visitors, manage external cleaners, prepare meeting rooms
  • Monitor, sort, and distribute all incoming mail for the business
  • Update site documentation when legislation alters (e.g., posting of annual insurance certificates to Canadian sites)
  • Inform the Operations team of all changes in legislation.
  • Coordinate travel and accommodation for the team when required.
  • Assist with minor technical issues and liaise and manage projects with IT when required
  • Prepare correspondence and presentations for Directors and Management when required
  • Prepare minutes for team meetings, as required
  • With the COO, prepare plans to help streamline and improve business operations
  • Schedule appointments and events
  • Provide feedback on office efficiency and suggest possible improvements
  • Build a strong culture in-line with the group’s Blueprint principles, which includes organising events and helping ensure that the offices and fun and engaging environments

Qualifications:

  • CPHR designation or actively working towards it
  • Post-secondary education in business administration or human resources

What will make you stand out from the crowd:

  • IOSH Managing Safely Qualification or equivalent

The successful candidate will have:

  • 2 + years' human resources administration experience and working towards their CPHR designation
  • Demonstrable success in office administration in a diverse and fast-paced work environment
  • 2+ years' experience in health and safety administration
  • Proficient user of Microsoft Office Suite
  • Excellent communication skills with the ability to build effective working relationships
  • Good attention to detail
  • Excellent planning and organising capability
  • Logical, ability to prioritise with good multitasking skills
  • Work with high levels of confidentiality and diplomacy
  • Ability to think on your feet
  • Comfortable working both in a team and independently
  • Empathetic and understanding, but positive and able to support others
  • Willingness to help others and to take on ad hock office tasks
