Position(s): Construction Project Coordinator
Location: PICS Surrey Head Office
Project: Guru Nanak Diversity Village
Reports to: Chief Executive Officer (PICS)
Hours: Full-time - 35 hours per week
Term: Contract position - 2 years (with potential for an extension until the project is

completed and commissioned)

Guru Nanak Diversity Village, located on a 2.5-acre site just west of the Cloverdale Fairgrounds, is a
partnership between the Ministry of Health, Fraser Health, and the Progressive Intercultural Community
Services (PICS) Society. This project will be a 3-storey, 125 bed, residential care facility that will provide
culturally sensitive Long-Term Complex Care to seniors. Presently, the project is at the pre-construction
and tendering stage.

PICS is seeking a highly motivated Construction Project Coordinator to join our team. The Construction
Project Coordinator will work with the project management team and will provide support to and
coordination of the project through all stages of construction.

Key Functions

  • provides administrative support to the project – filing and document control, coordinating
meetings, preparing agendas, taking meeting minutes, and coordinating the delivery of
documents;
  • acts as a liaison between the project and subcontractors, consultants, suppliers, and all other
internal and external stakeholders;
  • works with the construction management team, site teams, subcontractors, consultants,
suppliers, and other internal and external stakeholders to ensure all documentation received or
sent out is accurate and timely;
  • ensures all documents get distributed to the appropriate end-users;
  • creates or updates various documents and reports in Word and Excel including cashflows,
procedural manuals, and specification documents;
  • works with the construction management team, site teams, subcontractors, consultants,

suppliers, and other internal and external stakeholders to ensure monthly administrative and
reporting deliverables are met, including weekly and monthly progress reports;

  • completes or ensures the completion of month reports and presents the reports to the
oversight committee and to the PICS’ building committee;
  • provides accounting and finance with financial reports monthly or as required;
  • assists Accounting in preparing and submitting PDF claims to BC Housing;
  • coordinates, manages, tracks, and verifies purchase orders and invoices;
  • ensures all health and safety related documentation is completed accurately and on time;
  • ensures all health and safety regulations and procedures are followed correctly;
  • provides administrative support to the tender process; and
  • completes other related duties as assigned.

Knowledge and Experience
• two (2) years of experience in a similar role (Project Coordinator, Construction Coordinator,

Development Coordinator, etc.);
  • four (4) years of experience in the commercial construction industry;
  • Bachelors’ degree or diploma in construction management, project management, or related
discipline;
  • intermediate level education and proficiency in MS Office products (Word, Excel, PowerPoint,
etc.);
  • experience in participating in and presenting virtual meeting (MS Teams); and
  • experience and knowledge of effective record keeping and document management systems.
