Reporting to the VP, Potash ETC & Operational Strategy, the Executive Assistant, Potash ETC will be responsible for providing administrative support for the department, including 8 Directors and approximately 90 staff members.
What you will do:
Provide daily administrative support for the VP, Potash ETC & Operational Strategy including calendar management, report generation, expense management, and general support
- Coordinate and schedule requests for meetings & mine tours from a wide range of people (other senior leaders, core team members, etc.)
- Book and set up meeting rooms (coffee/catering/IT equipment)
- Assist in logistical planning for larger Potash-wide events
- Keep the VP’s calendar and vacation schedules up to date
- Manage financial processes for the department including budget preparation and tracking, coordinating purchase orders and requisitions, and routing inter- and intra-departmental invoices and expenses
- Schedule and coordinate travel for the team including airfare, car rental and hotel accommodations
- Manage various PPE and safety related programs at the Saskatoon Corporate Office
- Ensure the department is supported in maintaining office supply levels and office space for new and visiting employees
- Navigate multiple systems and software programs, including SharePoint, Chrome River, Outlook, Oracle and Excel
- Compile and edit the quarterly ETC, Next Generation, Procurement newsletter
- Learn and grow through collaboration and providing support across the Potash team
- Constantly seek ways to improve efficiency and processes within the department Represent the team in a personable and professional manner
What you will bring:
Minimum of 4 years of experience in executive administrative support required
- Post-secondary diploma/degree in Business Administration or equivalent experience is considered an asset
- Demonstrated experience in project management
- Experience with financial systems and software, including basic analytical and accounting skills
- Knowledge of SAP & Oracle preferred but not required
- Discretion with sensitive or privileged information
- Experience coordinating large functions and group events
- Confidence exploring and integrating new technologies
- Superb organizational and interpersonal skills
- Excellent written and verbal communication skills
- Ability to work both independently and collaboratively depending on the project
- Flexibility with the ability to adjust to shifting priorities
- Experience working within a Microsoft Office and Office 365 setting
- Effective presentation development in PowerPoint
