About the Opportunity


Reporting to the Director Talent Organization and Development, the Assistant has responsibility for the coordination and administration of a range of talent and organizational learning and development activities and projects as directed by the Director of Talent and Organizational Development as well as ensuring the development and maintenance of robust learning and development systems and processes. These will include: assisting with orientation, training administration, performance review process, long service and other team member recognition programs and learning program schedule and co-ordination. Responsibilities will also include supporting the Organizational Development Consultants in ensuring the development and maintenance of learning programs. The position also provides additional support to individuals, committees and working groups as assigned.


The Talent and Organizational Development Assistant is responsible for the operation and maintenance of manager/leader development program content and they support the development of learning content, presentations, and program promotional materials in a variety of formats. This role will work closely and collaboratively with immediate team members, as well as staff within other organizational departments.


The Talent and Organizational Development Assistant also functions as primary point of contact for Talent and Organizational Development team and has responsibilities in the areas of relationship management, program registration, electronic survey creation, results reports, logistical support and event management and co-ordination.


The Talent and Organizational Development Assistant has responsibility for the coordination and delivery of a range of projects and regular events to include producing and keeping updated project plans, arranging meetings and ensuring systems and processes are established and projects delivered to agreed timelines. This role also supports the team through ensuring all information contained on/in the T&OD electronic sites is accurate, up-to-date and regularly maintained.


On an as needed basis, the incumbent may provide general assistant coverage in the absence of other assistants reporting within the People Services Team.


About You

We would love to hear from you if you have the following:


  • Graduate of a recognized office/business administration program (Undergraduate degree or HR Diploma or certificate an asset)
  • 5-7 years of progressively responsible experience, providing administrative support and office coordination at senior level, preferably within healthcare and within an integrated service model provided throughout several locations with multiple partners and stakeholders
  • Demonstrated knowledge and ability to use SAP is an asset
  • Demonstrated excellent communication and interpersonal skills with a high degree of tact, judgement and confidentiality
  • Ability to take and transcribe minutes and to work independently as well as part of a team
  • Excellent organizational, follow-through and time management skills, with the ability to prioritize tasks and accurately management multiple priorities in a fast-paced, time-sensitive and highly confidential environment
  • Demonstrated accountability, initiative, and ability to work independently
  • Demonstrated ability to apply critical thinking, synthesize information, problem-solve and utilize good judgement in decision making. Ability to recognize sensitive issues and respond appropriately.
  • Demonstrated competencies requiring advanced skills and abilities in all facets of modern office practices and technology and with information and meeting technologies. Experience utilizing technology in meeting planning to create efficiencies and streamline tracking and retrieval of information

Hours

  • Permanent Full-time position; 75 hours biweekly
  • Some evenings may be required

Compensation and Incentives

$24.28 - $30.54 Hourly
