Key responsibilities:


  • Oversee the Client meeting request process in Salesforce - responsible for checking and responding to all inquiries within 24-48 hours.
    • Review all requests for Entry Advising meetings and respond to basic questions.
    • Direct all valid meeting requests to Calendly for scheduling with Entry Advisors.
    • Monitor status of meeting requests and follow-up with clients where appropriate.
  • Monitor Salesforce, Calendly, Outlook and Zoom connections to ensure all are running correctly and troubleshoot issues with the manager.
  • Responsible for in person traffic at the St. James office, determining the needs of a potential client, and booking an appointment, re-directing to another area, or answering their questions.
    • Greet and welcome clients who enter Entry Advising office at St. James.
    • Control traffic inside the Entry Advising office and direct people to proper departments within the campus.
    • Capture client information to book appointments, or to track walk-in traffic.
    • Advise clients who have basic questions such as exemptions, general education guidelines, and offering Full-time and Continuing Education Calendars.
  • Responds to email inquiries and tracks those inquiries.
  • Other duties as assigned.

Educational and Experience Requirements:


  • Three-year diploma in Business Administration, Community Services, Public Relations, or other related fields.
  • Minimum three (3) years’ experience in front-line customer service, preferably in post-secondary environment.
  • Demonstrated proficiency in the use of communication and organizational platforms such as Excel, Outlook, Teams, Blackboard, Office 365, etc.
  • Experience using Salesforce or other CRM tools is beneficial.

Interview process may consist of a practical skills component.
