Job Description

As an Administrative Associate, you will provide timely, accurate and proactive administrative and operational support. You possess excellent organizational ability, attention to detail, high energy and flexibility in a fast-paced deadline driven environment. In this role, you will need to work well in a team environment, act with professional courtesy and acumen, and deliver flawless work output. You will maintain a high standard of customer/partner service quality by taking ownership and accountability, prioritizing incoming inquiries, issues, and highlighting key areas requiring immediate attention and action.

In addition, your work will involve a range of complexity and may include but is not limited to the following accountabilities:

  • Manage phones and screen incoming calls and determine the level of priority
  • Cage Back up
  • Order general office, paper and kitchen supplies & other office stationery and supples
  • Book conference rooms and coordinate meetings
  • Maintain client rooms and boardrooms pre and post meetings
  • Collect and distribute incoming and outgoing mail and coordinate allcouriers.
  • Handle and execute the ordering and set-up of client lunches.
  • Oversee cleanliness of office, reception and client facing areas including escalation and resolution of deficiencies.
  • Liaison for all office communication.
  • Complete special projects and assignments in a thorough, accurate and timely manner.
  • Proactively identify operational risks/ control deficiencies in the business
  • Review and comply with Firm Policies applicable to your business activities
  • Escalate operational risk loss events, control deficiencies and risks that you identify to your line manager and the relevant risk and control functions promptly.
  • Other duties as assigned

Requirements

  • High school diploma with over 2 years of relevant experience
  • Hands on knowledge of MS Office Suite and Internet applications
  • Able to work independently as well as part of a team with flexibility for effectively coordinating processes and information across related teams
  • A dynamic professional with willingness to learn and take initiative on upcoming tasks and projects
  • Strong communication skills to interpret policies and apply standards to complete assignments in a fast-changing environment
